Warehouse Supervisor

Overview 

Reporting to the Supply Chain Manager, you will be responsible for the day-to-day management of the warehouse and for supervising the logistics service provider. You will support effective inventory management, stock movements, inventory counts and safety reporting, while ensuring that warehouse processes are executed in line with Helios Towers Senegal procedures and SHEQ requirements.

This position is based in Dakar, Senegal. 

Role Responsibilities 

As the Warehouse Supervisor, you will be responsible for: 

Leadership and Team Management

Warehouse Operations 

• Ensuring that the eight key warehouse processes are understood and complied with: material receiving, material dispatch, material returns, material quarantine assessment, asset disposal, buffer stock, refurbishment process and stock count. 

• Ensuring daily meetings take place and that relevant actions are recorded, updated and followed through. 

• Planning warehouse space, resources and equipment based on daily operational requirements. 

• Tracking shipments with the SCM team and partners to anticipate warehouse workload volumes. 

• Informing warehouse teams of goods deliveries on time, sharing packing lists and/or purchase orders, and preparing handling teams accordingly. 

• Supervising material receipt to ensure items delivered to the warehouse are received against a purchase order or material request order, with particular attention to kits. 

• Ensuring all materials are stored and dispatched in the same unit of measure in which they were purchased. 

• Ensuring nothing is dispatched from the warehouse without a valid material request order. 

• Raising awareness with colleagues on the returns process and ensuring returned items are received against the correct documentation. 

• Updating inventory and warehouse management on materials requiring disposal in line with the material assessment or asset disposal process. 

• Monitoring buffer stocks issued to contractors and ensuring consumption is communicated for system update. 

• Liaising with suppliers on materials sent for refurbishment according to the refurbishment process. 

• Coordinating the monthly stock count process, informing stakeholders of count dates and warehouse closure periods. 

• Performing monthly stock counts, conducting initial reconciliation and investigating variances between physical stock and SAP records. 

• Informing requesting departments of upcoming deliveries to coordinate quality checks of delivered goods. 

• Reporting damaged or missing items and ensuring the warehouse is properly maintained, with clear storage and mapping. 

• Ensuring Helios Towers environmental, health and safety recommendations are applied in daily warehouse management and proposing mitigating solutions where required. 

Key Performance Indicators 

• Ensure all warehouses are managed in line with HTS procedures. 

• Escalate incidents, issues or anomalies identified in the warehouse. 

• Eliminate warehouse non-conformities and propose corrective actions. 

• Report progress to the company and in customer forums where required. 

• Provide access to sites only to authorised persons. 

• Record critical warehouse failures and propose appropriate solutions. 

• Provide system reports to customers and suppliers. 

• Prepare daily, weekly and monthly reports. 

• Ensure activities are performed according to applicable SOPs. 

Requirements for the Role 

To succeed in the role, you will be / will have: 

• A diploma in logistics, management, economics, supply chain management or project management. 

• At least 5 years’ experience in a warehouse supervision role. 

• Good knowledge of telecommunications network operations, related components and technologies. 

• Excellent computer literacy, including Microsoft Office tools. 

• Proven knowledge of warehouse policies and procedures. 

• Good knowledge of supply chain operations and project management principles. 

• Strong understanding of written reporting standards and practices.
